RESPONSIBILITIES

  • Act as a key person for reception and some administrative related tasks.
  • Perform general administrative assistant duties (phone, filing, maintenance of various databases and other general administrative duties).
  • Set up conference calls.
  • Create spreadsheets in Excel, edit and create and review letters and contracts in Word.
  • Answer telephone, screen calls, take messages, and forward calls/pages as appropriate.
  • Maintain department filing systems.
  • Provide secretarial support.
  • Participate in a variety of special projects.
  • Update various company lists and reports.
  • Carry out any other duties which may be required from time to time.


QUALIFICATIONS AND SKILLS

  • High School or professional degree in secretarial studies, or equivalent combination of related training and experience.
  • Three to five years previous experience.
  • Excellent communication skills in both English and French (written and spoken).
  • In-depth knowledge of the Microsoft Office suite.
  • Excellent organizational and planning skills.
  • Multitasking skills.
  • Attention to details, flexibility, tact and diplomacy.
  • Maintain high level of confidentiality.
  • Willingness to learn and be comfortable working with new computer applications/databases.
  • Able to work in a fast paced environment.
